HAAS Ops Agents is an internal software application operated by HAAS Millworks Inc. ("HAAS," "we," "us"), 931 Elm St, York, PA 17403. It is used solely by HAAS to automate our own business operations, including invoicing, purchasing, and warehouse workflows. It is not offered to the public, and it does not have outside users or customers.
The application connects to HAAS's own accounts in third-party business systems, including QuickBooks Online (accounting), Microsoft 365 (email and Teams), and Extensiv (warehouse management). Through those connections it reads and writes business records that belong to HAAS: invoices, purchase orders, vendor and customer records, inventory quantities, and email sent to HAAS's shared business mailboxes.
Business records processed by the application may include the names, business email addresses, and business phone numbers of HAAS employees, customers, and vendors as they appear in our accounting and email systems. We use this information only to carry out the business transaction it relates to (for example, sending an invoice to a customer's accounts-payable contact or a purchase order to a vendor). We do not sell, rent, or share this information with third parties for their own purposes.
Data remains in the systems where it originates (QuickBooks Online, Microsoft 365, Extensiv). The application's workflow engine keeps short-term operational logs so that actions can be audited. Access credentials are stored in an encrypted credential vault and are limited to the minimum permissions required. Access to the application is limited to authorized HAAS staff.
The application uses Intuit's QuickBooks Online API under Intuit's developer terms, Microsoft Graph under Microsoft's terms, and Extensiv's API under Extensiv's terms. Each provider's own privacy policy governs data held in that provider's systems.
Business records are retained in our accounting and operational systems according to our normal record-keeping obligations. Operational logs generated by the application are retained for no longer than needed for auditing and troubleshooting.
